1 Courses

Second-level set of data defining prescribed instruction in a particular field of study. For departments not using programs this is the top level. Serves both as a template and reference point for associated sections.

Add Section: Will create a section that will be associated with this course and inherit all pertinent data from the course.

Agenda: Text defining the intended schedule of course content. Some departments may have this data presented on their course websites.

Allow Duplicate Registrants: Allows more than one registration for a distinct student. When enabled in a course, this option is passed to any section created from that course.

Allowed: The maximum number of registrants in the course. This can be overwritten in each section.

Attributes: Miscellaneous, customizable information about a course. This field is an open-ended field for freely optional information. Applies globally for all user groups.

Certification Types: If applicable, indicates whether this is an initial course or a refresher course.

CEU: Continuing Education Units. This field defines the CEUs available for attending the course.

Clone Course: Will create a duplicate of the course with all the same information, except for the associated sections.

Comments: Miscellaneous notes that pertain to the course.

Coordinators: contacts assigned to a Course. Currently limited to one entry (more can be added to associated Sections).

Description: Textual information about the course that is displayed on web sites for visitors to read.

Fees: All charges such as tuition, supplies, and any other costs that are associated with a registration for this course.

Hours: The number of credit hours earned for the course.

Instructors: This is the primary teacher or developer for the course. Currently, only one instructor can be associated with a course.

Name: A unique name to identify the course.

No Waiting List: Disables the ability to have a waiting list for sections that have a limited number of seats. If a registration is cancelled, another registration from a waiting list can be added.

Programs: The list of programs with which a course is associated. As noted above, a program is composed of one or more courses.

Providers: The associated institution that provided this course. Some departments offer courses for certifications of completion provided by various organizations or institutions, including their own.

Sections: A listing of the sections that were created from this course. This field is populated as sections are created.

Title: A title indicative of the nature of the course.

Web Price: The price used by departments, basic flat fee registration of a course. Flat standard fee. Does not translate to a fee of a section. Used for display on web-based course catalogs.

2 Contacts

A group of individual demographic data which is not student data, but has similar properties. Can be Instructors, External Coordinators or others.

3 Donation

A supporter contribution towards a particular program, course or section.

4 Payment

Any payment or invoice made towards the fees defined for a particular registration.

Address etc.: The address data of the payor.

Amount: The total amount of the payment.

Approval: If applicable, the approval number returned by the bank after charging a credit card.

Bank Amount: Amount of the total deposit.

Bank Date: Date of the actual bank deposit.

Bank Receipt: receipt number of the bank deposit.

Card Expiration: If applicable, the credit card expiration date.

Card Type: If applicable, the credit card type.

Comments: Miscellaneous notes that pertain to the payment.

CVV: If applicable, the 3 or 4 digit security verification number found on the back of the credit card.

Details: The payment details link the payment to the registration. A payment can be applied to multiple registrations.

Invoices: Invoices link payments of type invoice to the registration. A payment of this type can be applied to multiple registrations.

Method: The method of payment, the menu of which varies according to the amount (negative, zero, positive).

Number: Any check, purchase order, or credit card number associated with the payment.

Payor Type: The type of payor.

Payor1: The primary payor. This is usually the registrant him/herself.

Payor2: A secondary payor. If a primary payor is a third party, such as a company, the name of this party is usually entered here.

Posted Date: The date that this payment was included in a deposit.

Receipt: The receipt number of this payment.

5 Program

Top-level container for a particular field of study. Courses and sections can be part of programs. Programs are generally used for repetitive courses.

6 Registration

The direct link between a student and a section that is proof that the student is enrolled. registrations cannot be deleted if there are payments connected to them.

Allowed: The maximum number of registrants allowed in the section the student has registered for.

Attributes: Miscellaneous, customizable information about this registration. This field is an open-ended field for freely optional information. Applies globally for all user groups.

Check-in Remarks: Miscellaneous information specific to a registration that needs to be confirmed at check in, such as non-payment, extra guest, etc.

Comments: Miscellaneous notes that pertain to the registration.

Completed: The date that the registrant completed the course.

Confirmation: The confirmation number given to the registrant, by which this registration can be referenced.

Course: The course name of the section the student has registered for.

DOCE: The DOCE Account number of the section the student has registered for.

Enrolled: The number of current registrants in the section the student has registered for.

Entered: The date this registration was entered.

Fees: The fees that apply to this current registration and for which payment needs to be collected. These fees are defined through the section.

Grade: The grade received by the registrant, which can be expressed as a number, letter, or percentage.

Hours Earned: The credit hours earned by the registrant upon completion of the course.

Hours: The credit hours required for the completion of the course.

Location: The location of the section the student has registered for.

Marketing Code: ???

Payments: payments received for this registration from the registrant or a third party.

Registered: The date of factual registration.

Section: The section identifier of the section the student has registered for.

Special Needs: Particular requests collected from the registrant, such as dietary needs, accommodation, medical needs, etc.

SSN: The SSN of the registrant.

Start: The start date of the section the student has registered for.

Term: The term of the section the student has registered for.

Title: The title of the section the student has registered for.

Totals: Financial information about the registration, including dues, taxes and payments.

UFID: The UFID of the registrant.

Waiting: The number of registrants on the waiting list of the section the student has registered for.

7 Section

The actual container for the set of data defining prescribed instruction in a particular field of study. Essentially an instance of a course.

Address etc.: The address information of the location where the class is given.

Course: The course that this section is associated with.

Credit Hours: The number of credit hours associated with this section.

Credit Type: The type of credit this course offers such as college credit or continuing education units (CEUs).

Description: Textual information about the course that is displayed on web sites for visitors to read.

End: The date and time this section ends.

Enrolled: The number of current registrants, not including any waiting lists.

Fees: All charges such as tuition, supplies, and any other costs that are associated with a registration for this section.

Instructors: The number of instructors teaching this section.

Instructors: These are the teachers for this section.

Location Description: This describes the location and how to get there.

Location: A descriptive name of the location where this class is given.

MDs: Number of doctor participants. Used by CME for accreditation counts.

Online Class: Indicates whether this class is given online or not.

Others: Number of non-doctor participants. Used by CME for accreditation counts.

Predefined Location: A list of locations that are repeatedly used. It is provided to prevent unnecessary manual entry of address data.

Provider: The associated institution that provided this section. Some departments offer courses for certifications of completion provided by various organizations or institutions, including their own.

Section: The section number for this instance of the course. Typically used by the Office of the Registrar for marking each section of all courses with a unique identifying number. It sets this section aside from other sections that may have the same DOCE number and term.

Start: The date and time this section begins.

Subtitle: An optional clarification or sub division of the main title.

Term: The term in which a section runs. This is usually formatted by writing the four-digit year followed by a one-digit month (i.e. - 20061 for Spring 2006, 20065 for Summer 2006, 20068 for Fall 2006).

Title: A title indicative of the nature of the section.

Waiting: The number of current registrants on the waiting list.

Web URL: ???

Web-enabled Registration: Enables this section to appear in online registration forms.

8 Supporter

A financial contributor to a program, course or section not enrolled as a participant.

9 Student

An eligible person enrolled in one or more classes.

Address etc.: The current address data of the student.

Attended UF Before: Indicates whether the student has attended the UF before.

Attention: Indicates unresolved issues relating to the student's registrations. Usually refers to unpaid classes. When checked, this student's record will be highlighted in red on search results and the online registration pending list.

Comments: Miscellaneous notes that pertain to the student.

Company: The company the student may be affiliated with.

DL State: If applicable, the US state where the drivers license was issued.

DOB: The date of birth of the student.

Drivers License: If applicable, the drivers license number.

Ethnicity: The ethnicity of birth of the student.

First Name: The first name of the student only.

FL Resident: Indicates whether the student is currently a Florida resident.

Gender: The gender of birth of the student. This is optional.

Last Name: The last name of the student only.

License: Professional license information (number or type).

Mailing List: ???

Middle Name: The middle name or middle initial of the student only.

Name Tag: The first and last name as they are to appear on issued name tags.

Nationality: The nationality of the student.

No Mail: Indicates that the student doesn not want to receive mail from the mailing lists.

Prefix: The titulary address of the student, both military and civilian.

Programs: The list of programs with which the student is associated.

SSN: The SSN of the student.

Suffix: The student's suffix(es), if applicable. These include name related suffixes, such as jr and III, and degrees, such as MA, PHD, etc.

Title: An optional title for the student.

UFID: The UFID of the student.
